How Do You Know You’ve Outgrown Spreadsheets?

Spreadsheets are one of the best tools ever made for small businesses. They’re cheap, flexible and everyone can use them. Trouble starts when a spreadsheet stops being a tool and becomes your whole system.

Here are seven signs that it’s happened:

  1. Version chaos. Two people have two copies of the same file, and nobody knows which is right.
  2. Retyping. Staff enter the same details into your spreadsheet, your accounting software and your email.
  3. No clear status. You can’t tell where a job or order stands without asking someone.
  4. Mistakes reach customers. A wrong number in one cell turns into a wrong quote or invoice.
  5. One person knows how it works. If they’re away, the process stops.
  6. It’s slowing down. The file takes too long to open, or the formulas keep breaking.
  7. Too much access. Everyone can see and change everything, including pay or customer data.

One or two of these is normal. If you recognize four or more, it’s worth working out what it’s costing you.

What Do Spreadsheets Really Cost You?

The file is free, but the hours aren’t. Here’s a simple way to estimate it:

Hours lost per week × hourly cost of those staff × 48 working weeks = yearly cost

Say three people each lose 30 minutes a day on retyping and chasing updates, at $30 an hour. That’s 7.5 hours a week, or about $10,800 a year, before you count any mistakes or lost orders.

Do this sum with your own numbers. It gives you an honest budget for fixing the problem.

What Are Your Options?

OptionBest whenWatch out for
Tidy the spreadsheetThe process is simple and only one or two people use itIt only delays the problem if you’re growing
Ready-made softwareYour process is common, like bookkeeping or basic CRMPer-user fees, and changing how you work to fit the tool
No-code toolsYou need something simple and someone on your team enjoys building itIt can become a new mess that only one person understands
Custom softwareYour process is unusual, or it’s what sets you apartHigher upfront cost, so start small

Try ready-made software first. If something does nearly everything you need, buy it and move on.

When Is Custom Software Worth It?

Custom software tends to pay off when:

  • Nothing on the market fits how you actually work
  • You’ve stitched together several tools, and staff copy data between them
  • Per-user fees keep climbing as your team grows
  • Your process is part of why customers choose you
  • You want customers or suppliers to log in and serve themselves

I know this problem well. I spent 30 months working on Appanzee, a Canadian platform that exists to help teams replace spreadsheets with connected apps.

What Does a Sensible First Version Look Like?

Don’t try to replace everything at once. That’s how software projects go over budget. Instead:

  1. Pick the single process that costs the most time
  2. Write down how it works today, including the workarounds
  3. Build only what that process needs
  4. Move your data across and run it with real staff
  5. Fix what they complain about, then choose the next process

You get something useful quickly, and you can stop at any point with working software.

Frequently Asked Questions

What can I use instead of Excel for my business?

For common jobs, use ready-made software such as accounting or CRM tools. For something unusual, consider a no-code tool or a small custom application. Excel is still fine for analysis and one-off work.

How much does it cost to replace spreadsheets with custom software?

It depends on what the software needs to do. A small internal tool costs much less than a full platform, which is why it’s best to start with one process. Read what drives the cost for more detail.

Will my team need training?

A little. Good custom software is built around how your team already works, so it should feel familiar. Plan some time to run it alongside the old spreadsheet at first.

Can I keep using Excel for reports?

Yes. Most custom systems can export to Excel, so your team can keep using it for analysis without relying on it as the main record.
